Emails, reminders, cancellation and calendar

Emails customers receive

• Booking confirmation, sent immediately, with the service or seats, date and time, staff member or hall, amount due, and buttons to add the booking to a calendar and to cancel.
• Reminder, sent before the appointment or event.
• Cancellation, sent when the booking is cancelled by the customer or by you.

Emails are sent through WordPress’s own mail function, so they follow whatever mail setup your site already uses. If you use an SMTP plugin, Schedopia’s emails go through it too.

Emails your team receives

Staff receive a new-booking alert for each booking so nobody has to watch the dashboard.

Reminders

Reminders reduce no-shows. They are sent ahead of the appointment on the schedule set in Settings.

Self-service cancellation

Every confirmation email carries a secure cancellation link. Customers do not need an account: the link identifies the booking and lets them cancel in one step.

You control how close to the appointment cancellation is allowed. Set the cut-off in Settings → Booking rules; after that point the link tells the customer to contact you instead. When a customer cancels, the slot or seats are released immediately and the cancellation email is sent.

Add to calendar

Confirmation emails include Google Calendar, Outlook and Apple Calendar buttons. Each adds a single event with the correct time in the customer’s timezone.

Calendar feed

Your own schedule is available as a read-only calendar feed you can subscribe to from Google Calendar, Outlook or Apple Calendar. Bookings appear in your calendar app alongside everything else and update as they change. Find the feed URL under Schedopia → Calendar.

Note: The feed is read-only. Changes must be made in Schedopia, not in your calendar app.
